Assign Vendors and Call Sheets

Keep a reusable vendor rolodex, assign vendors per event day, and generate call sheets.

Vendors live in a reusable rolodex so you enter each one once and reuse them across events. Assign vendors to a specific event day with their call time, coverage window, and meal, and ClientCasa generates a per-vendor call sheet from the day's timeline.

Steps

  1. Go to the Vendors page (/dashboard/vendors) to build your rolodex — add photographers, planners, caterers, DJs, and anyone else you work with repeatedly.
  2. Open an event day in the editor (/dashboard/run-of-show/[id]) and go to its Vendors section.
  3. Click "Add vendor" and pick from the rolodex, then set their day-of details:
    • Call time — when they arrive.
    • Coverage — the window they're booked for; the engine flags items that run past it as "coverage exceeded".
    • Meal — whether a vendor meal is included.
  4. Use "Add vendors from booked services" to suggest vendors that match the client's accepted quote, so the people you sold get scheduled.
  5. Generate a per-vendor call sheet — each vendor sees their call time, coverage, and the items relevant to them, drawn live from the timeline.
  6. Share a scoped per-vendor link from the share menu, or export the vendor's call sheet as PDF or .ics. See the sharing guides for client portals and visibility controls.
